Accessibility & Inclusion

Moving MindSpace – Accessibility & Inclusion Statement (v1.0) Approved by: Directors of Moving MindSpace Review Date: Annually or sooner if practice, legislation, or accessibility standards change

1. Purpose & Commitment

Moving MindSpace is committed to creating an environment where every person — regardless of disability, neurotype, age, gender, culture, or background — can access and benefit from our services. We believe inclusion means more than access: it means belonging, respect, and understanding. As a trauma-informed and neurodiversity-affirming organisation, we actively design our spaces, services, and communications to be accessible, flexible, and responsive to individual needs.

2. Inclusive Design & Delivery

We ensure that all Moving MindSpace services are designed with inclusion at their core. This includes: - Offering sessions online, face-to-face, and in community settings. - Adapting delivery to individual needs, including sensory preferences, communication style, or cognitive profile. - Providing flexible session formats and pacing to meet each person where they are. - Using plain English, accessible language, and visual tools to support understanding. - Offering materials in alternative formats on request (e.g., large print, easy-read, or translated versions).

3. Accessibility in Communication

We recognise that accessibility includes communication. Our communication approach follows the Accessible Information Standard and aims to make all interactions clear, inclusive, and supportive. We adapt communication to suit individual preferences — including visual supports, written summaries, audio explanations, or assisted digital formats where required. Families can request communication in any format that supports comfort and understanding.

4. Digital & Physical Accessibility

We are committed to making both our digital and physical environments accessible: - Online services (delivered via Microsoft Teams and other secure platforms) include captioning, readable text, and visual clarity. - Our systems are compatible with screen readers and assistive software where possible. - Our documents and websites follow accessibility guidelines to support readability and assistive technologies. - In-person sessions take place in safe, step-free, and sensory-considerate environments where possible. - Reasonable adjustments are made for anyone who requires specific access support, in accordance with the Equality Act 2010.

5. Cultural & Neurodiversity Inclusion

Moving MindSpace celebrates diversity and welcomes people from all backgrounds and identities. We recognise and respect differences in communication, thinking, and processing styles, particularly for autistic, ADHD, PDA, and otherwise neurodivergent individuals. We also acknowledge the intersection between disability, culture, mental health, and family life — ensuring that every person feels seen, valued, and supported. Our services are designed to reduce barriers and empower every participant, carer, and professional to engage meaningfully.

6. Inclusive Language

We use identity-affirming and respectful language across all communications. We recognise the importance of using the terminology individuals prefer when referring to their identity, background, or neurotype. Language evolves, and we commit to listening, learning, and updating our approach to reflect inclusive and empowering terminology.

7. Reasonable Adjustments

We make reasonable adjustments to ensure equal access for all. This includes adapting physical environments, communication methods, session structures, or technology use to meet specific needs. We review requests for adjustments promptly and work collaboratively with each individual or family to identify effective solutions. No one will be excluded or disadvantaged due to accessibility needs.

8. Feedback, Consultation & Continuous Improvement

We encourage anyone who experiences barriers to accessing our services to let us know. Feedback can be shared via email, in writing, or through a support professional. We also consult with neurodivergent individuals, families, and professionals with lived experience to shape our ongoing accessibility plan. Accessibility and inclusion are standing items in our quarterly governance reviews.

Where accessibility concerns relate to safeguarding, safety, or discrimination, these will be escalated in line with the Safeguarding & Child Protection Policy or Complaints & Feedback Policy as appropriate. 9. Responsibilities & Monitoring

Responsibility for accessibility and inclusion sits across our leadership team: - **Charlene Rolls** – Equality, Diversity & Inclusion Lead; Data Protection Officer - **Christopher Cooper** – Training & Development Lead; Safeguarding & Online Safety - **Peter Dutton** – Health & Safety Lead; Environmental Access & Compliance

All staff and volunteers are responsible for promoting inclusive practice, attending relevant training, and raising any concerns or improvement ideas.

10. Our Accessibility Principles

Our accessibility and inclusion approach is guided by five core principles: - **Listen first, adapt always** - **Meet people where they are** - **Honour neurodiversity and individuality** - **Co-create safety and comfort** - **Review, learn, and improve continuously**
